Work Schedule Calculator

To work out weekly hours, subtract the unpaid break from each shift's length and multiply by the number of shifts. A 08:30 to 17:45 shift with a 30-minute break is 8.75 paid hours, or 43.75 hours over five days. This calculator adds overtime at 1.5 times your rate for hours over 40 a week.

How to use the Work Schedule Calculator

  1. Enter your shift start and end times. Overnight shifts, where the end is earlier than the start, are handled automatically.
  2. Enter your unpaid break in minutes and how many days a week you work.
  3. Enter your hourly rate.
  4. Read your hours per week, overtime hours over 40, and weekly pay including overtime at 1.5×. Results update as you type.

Formula

weekly hours = (shift length - unpaid break) × days · pay = regular hours × rate + overtime hours × rate × 1.5

Overtime is any time above 40 hours in the week, the US federal FLSA threshold. If the end time is earlier than the start time, the shift is treated as running past midnight and 24 hours are added.

Example

  • Shift 08:30 to 17:45 = 9.25 hours
  • Minus a 30 minute unpaid break = 8.75 paid hours
  • 5 days = 43.75 hours, of which 3.75 are overtime
  • At $24.50 an hour: 40 × 24.50 + 3.75 × 36.75 = $1,117.81

Overtime rules vary

US federal law requires 1.5 times pay for non-exempt employees after 40 hours in a workweek. Some states, such as California, also count daily overtime after 8 hours, and many countries set different limits. Check your contract and local labor law; this calculator is for planning, not payroll.

Work Schedule Calculator questions

How do I calculate overtime pay?

Multiply overtime hours by your hourly rate and by 1.5. Working 45 hours at $20 an hour gives 40 × $20 = $800 regular pay plus 5 × $30 = $150 overtime, a total of $950. This calculator applies overtime to hours above 40 in the week.

How are unpaid breaks deducted?

The break is subtracted from each shift before hours are added up. A 9:00 to 17:00 shift is 8 hours; with a 30-minute unpaid lunch, 7.5 hours are paid. Paid breaks should not be entered, because they count as working time.

Can I calculate overnight or night shifts?

Yes. If the end time is earlier than the start time, the calculator assumes the shift crosses midnight. A 22:00 to 06:00 shift is 8 hours, or 7.5 paid hours with a 30-minute break. The overnight hours count toward the weekly total and overtime just like day shifts. If your night hours pay a different rate, calculate them separately and add the results.

Why do my calculated hours not match my timesheet?

Check that break times and the number of days match what you actually worked, and that your employer's workweek and overtime rules are the same as the 40-hour weekly rule used here. Rounding of clock-in times can also create small differences.

Can I use this calculator for payroll or taxes?

Use it for planning and checking, not as official payroll. It does not calculate tax withholding, benefits deductions, shift differentials or state-specific overtime rules. For payroll, use dedicated software or a payroll professional who knows your local labor law. Keep your official pay stubs as the record of what you were paid.

What are the legal rules on overtime?

In the US, the Fair Labor Standards Act requires overtime at 1.5 times the regular rate for non-exempt employees after 40 hours a week. Some states add daily overtime, and other countries cap weekly hours or set different premiums. This tool is not legal advice.

How do I calculate pay for different shift types?

Calculate each shift type separately with its own rate, then add the results. For example, if night shifts pay a $3 differential on an $18 base, use $21 as the rate for night hours. Overtime is usually based on the weighted average rate for the week.
